The following sets out the Terms and Conditions for Pickards (Leeds) Limited trading as Pickard Properties, a company registered in the United Kingdom under registration number 08164306 and registered address of Layton Hall Layton Road, Rawdon, Leeds, West Yorkshire, LS19 6QZ.
These Terms and Conditions apply in whole to all individuals and entities who use, interact with, make a payment or simply visit our website (“Site”). By visiting and/or interacting with our Site you agree to the applicability of these Terms and Conditions to the contract between you and Pickard Properties. For this reason, it is important that you take your time to read this document carefully.
Please note that these Terms and Conditions are governed by, and construed in accordance with, the law of England and Wales. If you are accessing our Site from outside of the United Kingdom you, as a user of our Site, are solely responsible for complying with all local laws and regulations.

Please note that our Site and the services offered by Pickard Properties are for those over the age of 18. We cannot let a property, offer a viewing or provide any of our other services to those under the age of 18 unless accompanied by an appropriate adult.
For this reason, we ask that you do not provide any information to us via our Site or via any other means if you are under the age of 18.
Description
Pickard Properties is a letting company based in Leeds that offers a large range of residential and commercial property lets to students, professionals, businesses and educational institutions. Our Site allows its users to make inquiries regarding our properties and view virtual tours of the properties where available from the comfort of their own homes.
Pickard Properties aim to provide the usual estate agent services but online. For more information about the specific features and services our Site has to offer, please read the relevant sections below.
Enquiries and Contact Forms throughout the Site
Users of our Site are able to make inquires in relation to any of the services we offer by filling out the relevant contact form or by using the live chat function. These inquiries may be in relation to our property product pages, registering your interest in future property developments, reporting maintenance issues or any of the features of our Site.
When filling out such a form, you will be asked to provide your name, email address, phone number, and a description of your inquiry.
If our contact form is not available or you are unable to access our Site for any reason, you can email us directly at pickard@pickardproperties.co.uk. However, we ask that you use the relevant contact form or our live chat function in the first instance.

Enquiries can also be made via our live chat function. This function is made up of a chat bot and is attached to certain web pages on our Site and is provided by Yomdel. For information on Yomdel’s Terms and Conditions or Privacy Policy please visit their site directly.
Once you submit your inquiry, our chat bot will ask you certain questions so we have all the information we need. When the chat bot has performed its function, your enquiry will be diverted to 1 of 2 places:
- If your enquiry is in relation to sales (e.g. regarding 1 of our properties), it will be diverted to our Microsoft Dynamics CRM.
- If your enquiry is in regards to general customer services it will be diverted to pickard@pickardproperties.co.uk.
Virtual tours, property description and floor plans
If you find a property you are interested in on our Site, you can request to have a virtual tour of the property rather than an in person viewing. In order to be able to view the virtual tour, you must provide some basic information, such as your name and email address. This information will be used solely for the purposes of giving you access to tour and will not be further processed.
The visual tours that we provide through our Site are as accurate as possible. However, we are not responsible for any inaccuracies they may present.
Some of our visual tours will display personal items. This, however, does not mean that those personal items come with the property. It simply means that at the time of the visual tour, the property was occupied and decorated accordingly. If you have any questions in regards to what is included with the property please get in touch.
Please note that some of our properties come furnished, partially furnished or completely unfurnished. However, this is not the case for all of our properties. Information regarding what is included when letting a property can be found on the specific property page or can be requested via email.
A link to a copy of the Energy Performance Certificate (EPC) will be displayed on the property details page. This is a third-party link that will open a new tab and take you to the government national database.
Maintenance
If you are a resident of one of Pickard Properties’ properties it is possible to report any maintenance issues through our Site. You can do so by using the “Report Maintenance” button on the home page. The “Report Maintenance” button will take you to our Fixflo integration. When reporting a maintenance issue, please ensure you provide us with as much information as possible, including the property address, so that we can respond to the issue promptly.
If you are a tenant of one of our properties or are a future tenant, you can make payments through our Site.
Payments can be made in relation to rent, additional fees, deposits, or any other relevant fees you have been instructed to pay in relation to your tenancy.
In order to make a payment, you need to click on the relevant payment page on our Site. Here you will be prompted to enter the following information:
- Your reference number and/or property address;
- Card type;
- Payment type (i.e. rent, free, bond or other) and amount;
- Total amount payable;
- Your bank details, if you are paying via direct debit (i.e. bank account number and sort code);
- First and last name;
- Telephone number;
- Email address; and
- Billing information (i.e. full postal address).
Once you have entered this information, you will automatically be taken to a third party site in order to enter your payment information. If you have chosen to pay by credit card or debit card, this third party is Stripe. If however, you decide to set up a direct debit the third party site will be GoCardless. Please note that it is your responsibility as a user to ensure that the information you enter in regards to your property address, reference number, etc, is accurate. If, after entering this information, you realise that you have entered any of the information incorrectly please contact us via email or by using our contact form as soon as possible so that our payments team can rectify the issue.

Reviews
If you are a current or past tenant of one of our properties, or a general user of our Site and/or services, you can write a review through our Site.
Our review system can be accessed by clicking on the “customer feedback” icon displayed on the right-hand side of your screen. Here you can write a review regarding our service or regarding one of our properties. Once you click on this, you will be taken to reviews.io where you will be asked to enter your name (optional), email address, and a short description regarding your experience with Pickard Properties. You will also have the option to upload images that will strengthen the review.

Complaints procedure:
In order to make a complaint regarding any of our services, our staff or any other matter please visit the following page and fill out the relevant form. Once you have completed the complaints form a complaint reference number will be generated and your complaint will then be forwarded to the relevant email mailbox before a member of our team responds with the relevant course of action (if any).
Policies and other important documents:
As well as reading these Terms and Conditions we ask and encourage all our tenants to take a look at both our Fair Usage Policy which provides information on which properties are rent inclusive of bills, as well as the information on our Site regarding Agency Fees.
Our Site is updated on a regular basis with different news and property updates. You can access this information directly through our Site or via our email marketing system.
In order to stay up to date with our latest properties and general news, please tick the relevant box when using our contact form on our Site to be added to our marketing list.
You can unsubscribe from these marketing communications at any time by either clicking on the relevant unsubscribe button embedded into one of our emails.
Property measurements
All our property measurements are an approximation and therefore may not be 100% accurate. For this reason, we encourage all our tenants and/or potential tenants to complete their own measurements before ordering any furniture, etc. If the measurements we have provided are inaccurate and relied on, we cannot be held responsible for any losses suffered by yourself and/or any of the residents.
Human errors
From time to time there may be some human errors in relation to the input of measurements or any other features of our properties on our Site. Please note that we are not responsible for any such human error. For this reason, we encourage all tenants and/or potential tenants to complete their own measurements before ordering any furniture, etc.
Links to other sites
Links to other sites may be included on or be embedded into our website. Unless expressly stated, these sites are not under the control of Pickard Properties.
Pickard Properties neither assumes nor accepts responsibility or liability for the content on third party sites.
The inclusion of a link to another website is for informational purposes only and does not imply any endorsement of the sites themselves or of those in control of them.
Acceptable use policy
Our Site must only be used in compliance with these Terms and Conditions.
You must not use our Site in a manner that is unlawful or fraudulent. You must not knowingly cause harm to our Site by uploading, sending or in any other way transmitting data that contains any form of virus or malware or any other code designed to adversely affect computer, hardware, software, or data of any kind.
You must not knowingly cause harm to any other user of our Site.

Limitation of Liability
To the fullest extent permitted by law, users agree that in no event will Pickard Properties be liable to the user or any third party for any lost profit or any indirect, consequential, exemplary, incidental, special, or punitive damages arising from these Terms and Conditions or our services.
Access to, and use of, our Site, products or third party sites, and products are at the user’s own discretion and risk. Users will be solely responsible for any damage to computer systems or mobile devices or loss of data resulting therefrom.
Notwithstanding anything to the contrary contained herein, in no event shall the maximum aggregate liability of Pickard Properties arising out of or in any way related to these Terms and use of the Platform exceed any amounts paid for accommodation for the applicable 6 month period.
Changes to these Terms and Conditions
Pickard Properties may alter these Terms and Conditions at any time. If we decide to do so, any such changes will become binding on all visitors on their first visit to our Site after the changes have been made.
All visitors are therefore advised to check this page and read our Terms and Conditions upon every visit to our Site.
